Visa Information
We regret to inform participants that we are unable to arrange visas on their behalf. We strongly recommend checking with the nearest embassy or consulate of the host country to determine if a visa is required. If a visa is necessary, we advise you to begin the application process as early as possible.
To assist you, we can provide a confirmation letter once your registration and payment for the conference have been completed. If you require this letter, please complete the Visa Information Form, ensuring all details are accurate before submission. Changes requested after the letter has been issued will incur an administrative fee of CAD 50.
For participants who need to secure funding after their paper has been accepted:
You may submit your full paper as soon as your abstract is accepted.
Please indicate in your submission email that you require expedited review for visa purposes.
We will strive to complete the review process within three weeks of receiving your submission to allow sufficient time for funding, registration, payment, and visa application.
Refund Policy for Visa Refusals
In the unfortunate event of a visa refusal, the following refund policies apply:
Authors:
Registration fees paid in excess of CAD 400 will be refunded.
The CAD 400 fee covers the costs associated with processing the paper.
The paper will still be published in the conference proceedings, and the author will receive an electronic copy of the proceedings.
Note: Refunds are not available for early bird student registrations.
Non-Authors:
Registration fees will be refunded, minus an administrative charge of CAD 100 per participant.
Important Notes
Refund requests must be submitted in writing via email at least 10 working days before the conference begins.
Saturday and Sunday are not considered working days.
Refunds will not be issued for requests received after this cut-off time.
Refund Method
Payments made via credit or debit cards will be refunded to the same card.
Payments made by other methods will be refunded via bank transfer to the payee’s nominated account.
For international bank transfers:
All bank charges will be the responsibility of the registrant.
