Conference Cancellation Policy
We understand that circumstances may prevent registrants from attending. Below are our policies for substitutions, transfers, and refunds:
Substitution Policy
If a registrant cannot attend, they may arrange for another person to take their place. Please coordinate this with the conference registrar.
Transfer Policy
If a registrant is unable to attend and notifies the registrar in writing by the final payment deadline displayed on the event website, the registration fee can be applied to:
The same event the following year
Another IIAL event within 12 months of the originally booked event
Important for Authors:
If a contributing author opts to transfer their fee to another event, their paper will not be published in the original conference proceedings.
The paper may be eligible for publication in the proceedings of the later event if appropriate.
Refund Policy
For Authors
Paper Not Accepted: 80% refund of registration fees. The remaining 20% covers administrative costs.
Cancellation Timelines:
More than 60 days before the event: 80% refund
30–60 days before the event: 50% refund
Less than 30 days before the event: No refund
Additional Note:
Failure to register after receiving a paper acceptance incurs a CAD 100 review fee.
For Non-Authors
Cancellations made more than 10 working days before the event are eligible for a refund of registration fees, less a CAD 100 administration fee.
Cancellations made within 10 working days of the event are not eligible for a refund.
Refund Policy for Visa-Related Issues
For Authors:
Cancellations due to visa denial:
Fees paid in excess of CAD 400 will be refunded.
The CAD 400 covers costs associated with processing the paper.
The paper will still be included in the conference proceedings, and the registrant will receive an electronic copy.
Note: Refunds are not available for early bird student registrations.
For Non-Authors:
Registrations cancelled due to visa denial will be refunded less a CAD 100 administration fee, provided written notification is received no later than 10 working days before the event.
Important for Failed Visa Applications:
Refund eligibility requires written notification (via email) at least 10 working days before the conference.
Printed proceedings ordered by registrants who cannot attend will incur additional postage charges for delivery.
Refund Process
Payments made by credit or debit card will be refunded to the original card.
Payments made by other methods will be refunded via bank transfer to the payee’s nominated account.
For International Bank Transfers:
All associated bank charges will be the responsibility of the registrant.
Webinar Policy
Cancellations: Webinar bookings cancelled more than 30 days before the event are eligible for a 50% refund.
Alternative Options: After this date, no refunds are available, but registrants may request a place on an alternative webinar.
